Hi As per action assigned to the Secretariat here is a list of logistics considerations to open the call to general observers - Send a single announcement to all regions about the new feature of the ASO AC Teleconferences. * Announcement should be clear that observers cannot speak only listen to the call. - An annual reminder should be sent once the ASO AC establishes the ASO AC Teleconference calendar at the beginning of the year - Zoom link to published in the ASO AC Calendar 2 weeks before the call. * https://aso.icann.org/meetings/2019-aso-ac-meetings/ - Secretariat to send invitation of the ASO AC teleconference one week before tagging RIRs and ICANN accounts - No changes in the role call (only for ASO AC ) and keeping the record of participants from the RIR and ICANN Staff and Board members observers, as asual. - In the Welcome section of the agenda in every teleconference the ASO AC chair should remind about non RIR, ICANN staff and Board members observers can't participate in the deliberations of the meeting (including chat room?). - Keep record of the numbers of observers in the minutes. AC-COORD references in ASO Procedures

Hi Reviewing the Procedures to Appoint Members to Various Bodies I noticed that our procedures are making reference to the AC-COORD list in four instances. Maybe something to review and discuss in the next ASO AC teleconference Regards German --- 2 times in 4.4.1 4.4.1. Nominations Nominations for the positions of Chair for a particular year must be posted on the AC-COORD mailing list no earlier than 00:00 UTC on 1 December and no later than 24:00 UTC on 14 December of the preceding year. Self-nominations are allowed. Nominations must be seconded by another eligible voter. Confirmation of interest from nominated candidates must be posted on the AC-COORD mailing list no later than 31 December at 24:00 UTC. 1 in 7.3 7.3. Time Constrained Appointment Requests The AC Chair may decide to make the appointment by eVote after discussion on the ac-coord mailing list, in order to meet appointment deadline. 1 in 8.2 8.2. eVote The AC Chair may decide to hold an eVote after a 7 day discussion on the ac-coord mailing list. eVotes will follow the procedures described in our PROCEDURES TO APPOINT MEMBERS TO VARIOUS BODIES sections 7.4 except as follows in section in the next section:

Action Item 190703-3: AS to circulate the draft text on subscriptions and posting rights for ac-discuss to the ac-discuss mailing list for a seven day comment period. The only change from Action Item 190515-02 in below text is the removal of "by email" after the secretariat in the last paragraph (last word). ====== As we are moving towards the implementation of Recommendation 16 (ASO should favor the use of publicly archived mailing list). We have created AC-Discuss mailing (for day to day operational discussion) and will be transitioning from "ac-coord" to "ac-discuss" mailing list in July 2019. Secretariat has moved all the existing aso-ac members and observers (after confirmation from respective organisations such as RIRs, ICANN and IANA) to "ac-discuss" mailing list. Currently, all the members of the ac-coord mailing list have the email posting rights. ASO-AC has decided to document the observers into two categories "Observers with posting rights" and "Observers with no posting rights" on the ac-discuss mailing list. There is no restriction on the number of observers from RIRs, ICANN or IANA (as long as they are current staff members and using official email addresses) but it is requested that all (RIRs, ICANN and IANA) should notify the secretariat that who should get the posting rights, and be considered as having the authority to speak on behalf of their organisation. By default all observers will be marked as non-posting observers, only members of ASO-AC, Secretariat, NRO-EC members and ICANN Board members (elected by ASO-AC) have the posting rights. NRO-EC members (representing RIRs), ICANN and IANA may add/remove observer (from their organisation) and request to change the posting rights of any observer (from their organisation) by notifying secretariat. ===== Regards, Aftab A. Dear ASO AC This is the announcement I'll ask the RIR communication staff to circulate in the regional communities on 5th July. Please let me know if you have any comments. Regards German ---- ICANN's Nominating Committee (NomCom) is responsible for the selection of eight ICANN Board Members, two directors of the Public Technical Identifiers (PTI) and for other selections as are set forth in the Bylaws. (See Bylaws Article 8, Section 8.1). The NomCom is also charged with appointing some members of the ALAC, ccNSO Council and the GNSO Council. The NomCom complements the other means for filling a portion of key ICANN leadership positions achieved within the SOs and ACs. As per the ICANN Bylaws (Article 8, Section 8.2) Address Supporting Organization Address Council (ASO AC) is pleased to invite nominations for candidates from the "Internet Number Community" to run for an open seat on the ICANN NomCom 2020 as delegate of the ASO. The term for the elected delegate will be one year starting in ICANN 66 in Montreal, Canada November 2019. ICANN Bylaws section described above can be found here: https://www.icann.org/resources/pages/governance/bylaws-en/#article8 Time Commitment: - The elected person should be able to join monthly teleconferences (typically 15:00 or 16:00 UTC). Note that the committee’s workload will increase significantly during Apr/May/June 2020 when the candidate assessment process will be at its busiest. Conference calls are held more frequently (typically weekly and the duration of the calls may last up to 3 hours) during this time. - The elected person should be able to join (in person) 3 ICANN (66, 67 and 68) meetings and an intercessional meeting (TBD). Travel support for all meetings is provided by ICANN. - The elected person must be able to attend the NomCom selection meeting in late June 2020 during ICANN68. The ICANN NomCom has a set of guidelines and procedures documents for reference that provide additional information about the work of the NomCom. The ASO AC will be responsible for the selection of the delegate based on the below timeline. Hi Based on our discussion in the last meeting and as it's recorded in the minutes the ASO AC agreed to hold a eVote to select the ASO delegate to the NomCom starting on August 7th and keep it open for 48 hours. However our procedures clearly states that evotes must be open for no less than seven days unless all votes are casted. This gives just enough t time to release the announcement on 15 August. Please let me know if you have any concerns or comments on proceeding with the 7 days period as per procedure. Hi German, it's OK for me to extend the period up to 7 days (following our current procedures). Even when the NomCom prefers to receive the selected person as soon as possible, August 15 is not too late. But anyway, If we can vote during the first 24-48 hours will be better for our representative, to enter quickly into the travel support procedure.
