As per action assigned to the Secretariat here is a list of logistics considerations to open the call to general observers
- Send a single announcement to all regions about the new feature of the ASO AC Teleconferences.
* Announcement should be clear that observers cannot speak only listen to the call.
- An annual reminder should be sent once the ASO AC establishes the ASO AC Teleconference calendar at the beginning of the year
- Zoom link to published in the ASO AC Calendar 2 weeks before the call.

- Secretariat to send invitation of the ASO AC teleconference one week before tagging RIRs and ICANN accounts
- No changes in the role call (only for ASO AC ) and keeping the record of participants from the RIR and ICANN Staff and Board members observers, as asual.
- In the Welcome section of the agenda in every teleconference the ASO AC chair should remind about non RIR, ICANN staff and Board members observers can't participate in the deliberations of the meeting (including chat room?).
- Keep record of the numbers of observers in the minutes.

Reviewing the Procedures to Appoint Members to Various Bodies I noticed that our procedures are making reference to the AC-COORD list in four instances.

4.4.1. Nominations
Nominations for the positions of Chair for a particular year must be posted on the AC-COORD mailing list no earlier than 00:00 UTC on 1 December and no later than 24:00 UTC on 14 December of the preceding year. Self-nominations are allowed. Nominations must be seconded by another eligible voter. Confirmation of interest from nominated candidates must be posted on the AC-COORD mailing list no later than 31 December at 24:00 UTC.

The AC Chair may decide to make the appointment by eVote after discussion on the ac-coord mailing list, in order to meet appointment deadline.

The AC Chair may decide to hold an eVote after a 7 day discussion on the ac-coord mailing list. eVotes will follow the procedures described in our PROCEDURES TO APPOINT MEMBERS TO VARIOUS BODIES sections 7.4 except as follows in section in the next section:
Action Item 190703-3: AS to circulate the draft text on subscriptions and
posting rights for ac-discuss to the ac-discuss mailing list for a seven
day comment period.
The only change from Action Item 190515-02 in below text is the removal of
"by email" after the secretariat in the last paragraph (last word).

As we are moving towards the implementation of Recommendation 16 (ASO
should favor the use of publicly archived mailing list). We have created
AC-Discuss mailing (for day to day operational discussion) and will be
transitioning from "ac-coord" to "ac-discuss" mailing list in July 2019.
Secretariat has moved all the existing aso-ac members and observers (after
confirmation from respective organisations such as RIRs, ICANN and IANA) to
"ac-discuss" mailing list.
Currently, all the members of the ac-coord mailing list have the email
posting rights. ASO-AC has decided to document the observers into two
categories "Observers with posting rights" and "Observers with no posting
rights" on the ac-discuss mailing list. There is no restriction on the
number of observers from RIRs, ICANN or IANA (as long as they are current
staff members and using official email addresses) but it is requested that
all (RIRs, ICANN and IANA) should notify the secretariat that who should
get the posting rights, and be considered as having the authority to speak
on behalf of their organisation. By default all observers will be marked as
non-posting observers, only members of ASO-AC, Secretariat, NRO-EC members
and ICANN Board members (elected by ASO-AC) have the posting rights.
NRO-EC members (representing RIRs), ICANN and IANA may add/remove observer
(from their organisation) and request to change the posting rights of any
observer (from their organisation) by notifying secretariat.
